Which of the procedures of Erasmus students are the relevant officials in the Bioengineering department responsible for?

The Bioengineering Department;

Making agreements with partner universities and departments for the Erasmus exchange program, Placing an appropriate number of students in the relevant universities according to these agreements, based on their scores and preference/eligibility status, Notifying the Erasmus unit about the placements made, Making notifications (nominations) regarding the students placed in the host institution, Evaluating and approving the relevant petitions of students who want to waive their rights or change institutions/semesters (petition examples can be accessed from the Erasmus+ unit page), Checking the suitability of the courses the students will take at the university they will go to with the department courses to be recognized, and guiding the students accordingly, Signing the Learning Agreement (LA) and Adaptation-A documents to be prepared by the students and sending them to the relevant approval authorities, If deemed necessary, making course changes while at the host institution within the scope of the student exchange program and determining new courses accordingly, and updating the relevant LA and Adaptation-A documents and sending them for signature again, Checking the Adaptation-B document to be prepared by the student upon return, determining the grades according to our university's grading system, and sending the document to the faculty for approval

is responsible for these procedures and deals only with these matters. For all procedures other than these, depending on their nature, the EU office, the host institution, and the relevant authorities must be applied to.

 

What are the procedures to be done together with the department after the students placed in a university within the scope of the Erasmus exchange program receive an e-mail from the host institution, and how will the process be carried out?

After placement, an official will be determined for each student. Students will only communicate with this official for all the procedures listed above regarding the department. First, the student determines the courses they want to take from the host institution, writes the department course they want to be recognized instead of that course next to each course, and sends them to the relevant official along with the links containing the contents of these courses. After the courses are approved by the official, they prepare and send the LA document (before the mobility part). This document will be approved by the department coordinator and the Erasmus office. After the LA document is approved by the host institution, Adaptation-A is prepared by the student, sent to the relevant official, and sent to the faculty for approval by being signed. During the time the student is at the host institution, course changes may need to be made due to various reasons. In this case, the new courses and their equivalents must be approved by the relevant official, the LA (during the mobility part) and Adaptation-A documents must be prepared again by the student and forwarded to the official, signed by the department, and sent to the faculty. Upon return, the students prepare the Adaptation-B form and send it to the relevant official together with the transcript they received from the host institution. Grades are determined according to our university's grading system, signed, and sent to the faculty for approval.

 

Who Can Benefit from the Erasmus+ Program, How?

Mobility activities will be carried out between EU member states and non-EU program countries (Norway, Iceland, Liechtenstein, Switzerland, Macedonia, and Türkiye).

If universities, institutes, academies, and similar institutions accepted as higher education institutions by the relevant official institutions of the countries apply to the European Commission Education and Culture General Directorate and qualify to receive the Erasmus+ University Charter - EUC, the student, academic, and administrative staff of these institutions can benefit from all activities within the scope of the Erasmus+ and Program.

Whose applications are accepted as exchange students?

  1. Students can study abroad within the scope of the program for a minimum of 3 months and a maximum of 12 months. Traineeship mobility periods are a minimum of 2 and a maximum of 12 months. A student can benefit from study and traineeship activities for a total of up to 12 months, with or without a grant, for each education level (bachelor's, master's, doctorate) more than once. Even if the activity period is without a grant, it cannot exceed 12 months.

  2. Undergraduate 1st-year students cannot benefit from the exchange.

  3. Associate, undergraduate, graduate, and doctorate students can benefit from the exchange.

  4. For Associate/Undergraduate students, the academic success average must be at least 2.20/ 4.00. For Graduate and doctorate students, the academic success average must be at least 2.50/4.00.

  5. In the evaluations; for study and traineeship mobility, 50% of the Academic success score and 50% of the Foreign Language Exam Result are taken, and ranking is made on the basis of departments.

  6. For study mobility: there must be a sufficient ECTS credit load.

  7. The student must be a full-time student registered in a higher education program in any of the formal education levels (first, second, or third level) within the body of the higher education institution.

What is the first condition to benefit from the program?

The prerequisite to benefit from the Erasmus+ Program is that there is an inter-institutional agreement made between the department you are studying in and the relevant department of a university located in another country participating in the Program. Therefore, students who want to study abroad through the Erasmus+ Program should first meet with the coordinators in their departments or faculties and get information about the educational institutions they can go to for exchange abroad.

 

What does host institution mean? Can I not go to an institution that does not have an agreement with YTÜ?

The host institution is a foreign higher education institution that has made an agreement with YTÜ through an Inter-institutional Agreement within the framework of the Erasmus+ Program. If there is no such agreement between the institution you want to be at as an exchange student and your own school, it is not possible for you to be an Erasmus+ study mobility exchange student. For this reason, you need to analyze the institutions you want to go to and the institutions your department has agreements with well, and be in communication with your Department Erasmus Coordinator in this process.

 

Who can help me regarding accommodation?

It is not the responsibility of higher education institutions to arrange accommodation for people who will benefit from higher education student and staff mobility activities. However, the EU Offices of the institutions where one is a student and will be a guest can provide information about where to stay and share their experiences, if any. You can learn the necessary information regarding accommodation from the web page of the institution you will go to or by contacting the host institution personally.

 

National Grants and Scholarships

During the period when students participating in the mobility activity carry out their activities abroad, the higher education scholarships and loans they currently receive continue. This gain cannot be terminated, interrupted, or reduced during the student's study/traineeship activity abroad.

Higher education institutions cannot bring a limitation to the right of students who meet the national scholarship or loan application conditions to benefit from the Erasmus+ grant. Students who cannot gain the right to apply for national scholarships or loans can also apply for the Erasmus+ grant.

 

Returning Before the Planned Activity Period is Completed

As stated in the General Call for Proposals announced by the European Commission, student study mobility activities last a minimum of 3 months, and traineeship mobility activities last a minimum of 2 months. Minimum periods cannot be reduced except for force majeure. In case the mobility period is below the minimum period, no grant payment is made for the mobility in question.

In case students return early from the planned mobility activity period due to force majeure (compelling reasons, family reasons, health reasons, natural disasters, etc.), the grant amount corresponding to the period the student stayed abroad is given to the student. If a payment more than the grant calculated for the period stayed has been made, the refund of the excess amount is requested. Whether a situation is considered a force majeure or not becomes certain after the meetings held with the National Agency.
